Terms of Service

These Terms of Service (“Terms”) govern your access to and use of Pilotflows, a service provided by Tegi S.à r.l.-S. (“Pilotflows”, “we,” “our,” or “us”). By using our platform, you agree to these Terms.

2. Acceptance of Terms
By accessing or using our services, you confirm that:
- You have read and understood these Terms
- You are at least 18 years old (or the age of majority in your jurisdiction, if higher)
- You have the legal capacity to enter into binding contracts
- You agree to comply with these Terms
- You agree to our Privacy Policy and Security Policy
If you do not agree to these Terms, you must not use our platform. Our Privacy Policy explains that the Services are not directed at children under 16; separately, you must meet this Section 2 age requirement to create an account or use paid features.
3. Services Description
Pilotflows provides web and native mobile applications and related services, which may include:
- User account management and authentication (including 2FA)
- Organization management and collaboration tools
- Personal and organization logbooks, certificates, and document storage
- Scheduling, training, hangar, skydiving operations, and related operational tools
- Community features, shared flights, profiles, and other user-generated content
- Organization shop and checkout for products, tickets, or services sold by organizations (Stripe Connect)
- AI-assisted logbook import and related optional tools
- Subscription-based access to personal and organization platform features
- An optional affiliate / referral program
Features available to you depend on your plan, organization roles, and the products we offer at the time. We may add, change, or discontinue features with notice where required.
4. User Accounts
To use our services, you must:
- Provide accurate and complete registration information
- Maintain the security of your account credentials
- Enable two-factor authentication when required
- Not share your account with others
- Notify us immediately of any unauthorized access
- Keep your contact and billing information up to date
5. Subscription and Payments
Some features require a paid subscription. Who bills you depends on how you purchase:
- Web / Stripe: Personal and organization subscriptions purchased on the web (or other channels billed through our Stripe account) are billed by Pilotflows. Payments are processed by Stripe. Subscriptions auto-renew unless cancelled through your billing settings or the Stripe customer portal.
- Apple In-App Purchase: Personal subscriptions purchased in our iOS apps are billed by Apple through the App Store (via RevenueCat). Those subscriptions are auto-renewing App Store subscriptions. Apple — not Pilotflows — is the merchant of record. Manage, renew, or cancel in your Apple ID / App Store subscription settings. We cannot cancel or refund App Store purchases on Apple's behalf.
- Refunds and withdrawal rights are described in our Refund Policy, which forms part of these Terms.
- Prices may change with 30 days notice where applicable
- Trial periods may be offered at our discretion
- You are responsible for applicable taxes
6. Organization Shop and Stripe Connect
Organizations may sell products, tickets, or services to end customers through Pilotflows using Stripe Connect (the “organization shop” and related checkout).
Contract and merchant of record: For those sales, the selling organization is the seller and merchant of record. Your purchase contract is with that organization, not with Pilotflows. Pilotflows provides the platform and payment tooling; funds are charged to the organization's connected Stripe account.
Refunds and chargebacks: Refunds, returns, credit notes, and customer disputes for organization shop purchases are the organization's responsibility. Chargebacks and payment disputes are handled under Stripe's processes with the connected account. See our Refund Policy. Pilotflows does not issue those refunds from our own Stripe account on the organization's behalf.
Buyer data: When you buy from an organization, that organization is the controller of personal data it needs to fulfill the sale (for example name, contact details, and purchase history with that organization). Pilotflows processes platform and payment-related data as described in our Privacy Policy. Organization customers may also be subject to a Data Processing Agreement with us for organization-controlled data.
Organizations using Connect must comply with Stripe's terms, applicable law, and their own customer-facing terms. We may suspend shop or Connect features for fraud, policy breaches, or legal risk.
7. User Content and Data
Regarding documents, certificates, logbook records, and other content you upload or store for your own use:
- You retain ownership of your content
- You grant us license to store and process your content
- You are responsible for the legality of your content
- We may remove content that violates these Terms
- We maintain regular backups but are not liable for data loss
- You should maintain your own backups of important data
8. User-Generated Content
Community posts, shared flights, profile information, comments, and similar content you make visible to other users (“UGC”) are covered by this section in addition to Section 7.
License: You retain ownership of your UGC. You grant Pilotflows a worldwide, non-exclusive, royalty-free license to host, reproduce, display, distribute, and otherwise use that UGC as needed to operate, promote, and improve the Services (including showing it to users you share with or to the community audience you select).
Your responsibilities: You are solely responsible for UGC you post. You must not post illegal, infringing, defamatory, harassing, or otherwise prohibited content, or content that discloses others' personal data without a lawful basis.
Moderation: We may review, restrict, hide, or remove UGC, and suspend or terminate accounts, when we believe content or conduct violates these Terms, creates legal risk, or harms other users. We are not obligated to pre-screen UGC.
Takedown: To report UGC that you believe is unlawful or violates these Terms, contact [email protected] with a description of the content, where it appears, and why it should be removed. We will review reports and take action we reasonably consider appropriate. Nothing in this section limits mandatory notice-and-action procedures under applicable law.
9. AI Features
Certain features, including AI-assisted logbook import, use third-party artificial intelligence processors. When you choose to use AI-assisted logbook import, you submit content (for example screenshots or PDFs) and we send that content to xAI for extraction. Submission is optional and occurs only when you use the feature.
Uploaded images, screenshots, and PDFs for this flow are not persisted on Pilotflows: they are processed in-request (PDFs may be temporarily uploaded to the xAI Files API and then deleted). The in-memory extraction session is retained for about 15 minutes or until you confirm the import. Confirmed logbook entries become your account data under normal retention. Further detail is in our Privacy Policy.
AI output may be inaccurate or incomplete. You are responsible for reviewing and correcting imported data before relying on it. We do not warrant that AI features are error-free.
10. Affiliate Program
If you join our affiliate / referral program, the Affiliate Program Terms apply in addition to these Terms. You must agree to those terms before creating an affiliate code.
11. Acceptable Use
You agree not to:
- Violate any laws or regulations
- Infringe intellectual property rights
- Upload malicious code or content
- Attempt to gain unauthorized access
- Interfere with platform operation
- Use the service for unauthorized commercial purposes
- Share access to your account
- Exceed usage limits or quotas
12. Intellectual Property
All platform content and features are protected by intellectual property rights:
- Our software, design, and content are proprietary
- Our trademarks and branding may not be used without permission
- You may not copy or modify our platform
- You may not reverse engineer our services
13. Termination
We may suspend or terminate your access if:
- You violate these Terms
- You fail to pay subscription fees
- We suspect fraudulent activity
- We cease operations
- Required by law
You may terminate your account at any time by contacting us. App Store subscriptions must also be cancelled in Apple's settings if you purchased through Apple.
14. Limitation of Liability
To the maximum extent permitted by law:
- We provide the service “as is”
- We are not liable for indirect or consequential damages
- Our total liability is limited to fees paid in the last 12 months
- We do not warrant uninterrupted service
- We are not responsible for third-party services (including Apple, Stripe, xAI, or selling organizations)
- We are not a party to contracts between buyers and organizations for Connect shop sales
15. Governing Law
These Terms are governed by the laws of Luxembourg, without regard to conflict of law principles. Any disputes shall be subject to the exclusive jurisdiction of the courts of Luxembourg.
16. Changes to Terms
We may update these Terms at any time. We will notify you of significant changes through our platform or via email. Continued use after changes constitutes acceptance of the new Terms.
